General Position Summary

We are looking for a competent Executive Administrative Assistant to provide personalized secretarial and administrative support in a professional, well-organized and timely manner to the CEO and other executives. The Executive Administrative Assistant works on a one-to-one basis on a variety of tasks related to executive’s working life and communication. The position is responsible for acting as the administrative point of contact between the executives and internal/external clients as well as undertaking the tasks of receiving calls, taking messages and routing correspondence. The Executive Administrative Assistant manages executives’ requests and queries appropriately in a timely, professional manner.

Essential Job Functions

  • Communicate and collaborate daily with executives on meetings, agenda, travel, and tasks   

  • Partner with executives to manage projects supporting annual cadence, e.g., Advisory Board prep

  • Function as the point of contact between the executives and internal/external clients

  • Handle requests and queries appropriately

  • Strive to continuously take on executive tasks to enhance executive efficiency

  • Drive continuous improvement in administrative processes

  • Schedule meetings and appointments and provide reminders

  • Support travel arrangements and complete expense reports

  • Take minutes and follow up on action items

  • Produce reports, presentations and briefs

  • Coordinate support meetings, including catering and administrative support

  • Manage corporate and client gifts and deliveries

  • Perform other duties as required

Education and Experience

  • Bachelor’s Degree

  • Certified Administrative Professional (CAP) or like certification preferred
